The PTA Board is made up of parent volunteers who work cooperatively with our teachers and staff to support the overall well-being and success of our school, staff, students and families. Each role is a one year commitment. Contact us at gallardopta@gmail.com to discuss joining the board for next year.
* All board members are required to attend monthly meetings and general meetings. Chair positions are not required to attend monthly board meetings.

President – Key Role
- Oversees and coordinates the work of an executive board to run a PTA effectively
- Presides at PTA board and association meetings
- Serves as the official contact, communicator and representative of a PTA
- Approves all materials prior to distribution or posting
- Designated as an authorized signer for PTA checks, contracts and authorizations for payment
- Makes chairperson and committee member appointments
- Serves as ex-officio member of all committees except the nominating committee
- Meets with the School Principal on a regular basis
- Works with other PTA leaders to connect families, school and community to support student success
- Attends FCUSD, Third District PTA, California State PTA and National PTA meetings and trainings
Secretary – Key Role
- Assists President in the development and communication of board and association meeting agendas
- Prepares materials for all association meetings (slideshows and packets)
- Takes minutes at board and association meetings
- Co-signs formal papers with president: authorizations for payment, resolutions and formal letters
- Handles PTA correspondence as directed by the President
- Maintains and preserves PTA records and important documents to pass on at the end of the term
Treasurer – Key Role
- Maintains permanent records to track unit funds and financial transactions
- Chairs budget committee and prepares annual budget for adoption by the association
- Help prepare school PTA budget, track income and expenses according to budget, and help prepare budget revisions as necessary for adoption by the association
- Receive funds collected by any PTA volunteers, ensuring that they are counted at the original point of receipt by two PTA members using cash verification forms, and deposit cash and checks immediately in a PTA bank account, retaining deposit slips
- Pay PTA bills as authorized by board or association
- Track membership dues collected and remit per capita dues (non-Totem) to Third District PTA on a regular basis
- Prepare written Treasurer reports for every board and association meeting, as well as an Annual Financial Report
- Ensure that tax returns and reports, required by PTA bylaws, insurance, and federal and state governments are completed and submitted by the due dates
Executive Vice President (New Position)
- Works closely with the president to help run a PTA
- Designated as an authorized signer for PTA checks, contracts and authorizations for payment
- Performs president’s duties in his or her absence
- May be asked by PTA President or executive board to oversee committees or perform specific tasks as needed.
- Carry out other duties which may be outlined in unit bylaws and standing rules
VP of Fundraising
- Works with a committee, appointed by the president, to plan and organize fundraising activities
- Focuses on raising the amount of funds needed to meet the unit’s budget
- Presents reports on proposed fundraising activities at board and association meetings for approval
VP of Membership/Member Engagement
- Oversees membership efforts and promotes PTA membership throughout the year
- Creates and implements a membership plan which includes the annual membership campaign
- Maintains member records, collects dues and distributes membership cards
- Provides updates at board and association meetings
- Provides information, activities and resources to empower members and community stakeholders
VP Communications
- Coordinates all communication updates for the Gallardo community on upcoming events and programs.
- Publishes communications to our community using social media posts, Gallardo Membership Toolkit publications and updates, the outdoor marquee and Gallardo's FCUSD website.
- Sends Mrs. Graham's weekly newsletters
- Oversees the work of the Flyer Chair to ensure all flyers are approved and meet requirements
Financial Secretary
- Works closely with the treasurer and other financial officers in handling PTA funds
- Keeps a record of all PTA funds collected, deposited and disbursed
- Prepares monthly and annual financial reports
- Designated as an authorized signer for PTA checks, contracts and authorizations for payment
Financial Reviewer
- Reviews the books and financial records of a PTA to determine their accuracy
- Presents written reports on financial reviews to the board for review and the association for adoption
- Uploads copies of adopted financial reviews to the document retention system as indicated in unit bylaws
Director of Events
- Oversees the planning and execution of PTA events
- Collaborates with principal, PTA president, other board members, Event Chairs and campus student groups to coordinate, plan and implement programs
- Trains and supports Event Chairs
- Monitors all stages of the event planning from the proposal to the end of event reporting
- Oversees and delegates volunteer recruitment for implementing and running events
- Ensures all programs meet PTA insurance requirements for allowable activities
Historian
- Capture, assemble and preserve a record of activities and achievements of the PTA each year
- Arrange for photos/videos to be taken at PTA events
- Obtain written parent/guardian permission before posting any photos of students
- Act as liaison to the Yearbook Staff and support them in the production of the yearbook
Parliamentarian
- Assists the president in managing meetings and advises on basic parliamentary procedure, including instructions in how to make a motion
- Chairs Bylaws committee when updating bylaw (every 5 years) and reviews the bylaws annually with the board members
- Directs the nominating committee in setting a date for their first meeting, electing a chair, and outlines their responsibilities.
Director of Clubs
- Oversees all PTA-sponsored clubs on campus
- Reserves facilities for club meetings
- Publicizes clubs and coordinates with club leaders
- Presents updates at board and association meetings
- Creates and manages the online sign up process on Gallardo's Membership Toolkit
